Responsibilities

As part of the Asset and wider Property Pod, this role provides proactive and general administrative support, contributing to the smooth operation of key property functions. Responsibilities include maintaining accurate electronic records and updating various IT systems such as Keystone, Open Housing, and Dynamics. The role also involves producing reports and programmes from these systems, supporting data analysis functions, and ensuring that asset and property-related tasks are carried out efficiently and in accordance with required timelines.

The role plays a vital part in supporting sustainability efforts by working closely with the Asset and Sustainability Manager to prepare, monitor, and report on sustainability projects. This includes tracking progress toward targets such as EPC C, Net Zero Carbon, and the broader Sustainability Strategy. Additionally, the position is responsible for maintaining and reporting on key trackers for asset performance, decent home standards, and sustainability-related KPIs, as well as managing asset completions and survey data reporting.

A strong emphasis is placed on engagement and collaboration, both internally and externally. The role requires liaising with tenants and leaseholders to coordinate site inspections, advise on repair appointments, and address various enquiries. It also involves assisting in investigations by collating key complaint and quality review information. The successful candidate will work closely with technical staff to interrogate and validate data before uploading it into key systems, and will contribute to the refinement and documentation of processes within Keystone, Dynamics, and Open Housing, ensuring all updates are logged in the Knowledge Sphere.

An ideal candidate will demonstrate a genuine willingness to learn, with a strong interest in property management and tenant engagement. They should be capable of working openly and constructively with a diverse range of people, helping to create a positive atmosphere and a sense of shared purpose across teams and departments.

The candidate should be able to understand how change affects individuals and organisations, and respond in a way that is both empathetic and effective. They should also have a keen eye for identifying gaps or inefficiencies and be confident in suggesting practical, constructive solutions to improve processes and outcomes.

35-hour week pilot

We have been piloting a change to our normal full-time, 37-hour 5-day week. We have been piloting a shorter 35-hour week (for the same pay as before) where staff work a full day Monday to Thursday, and finish the working week at 1pm every Friday. It’s just a pilot at this stage while we evaluate its impact on our staff, our tenants, and the service we provide, but if successful we will consider a permanent move to this way of working in 2026.
